Definition
Preventive action is action taken to eliminate the cause of a potential nonconformity or other potential undesired situation before it occurs. It differs from corrective action, which addresses the cause of an existing nonconformity to prevent recurrence. Preventive action may arise from risk assessment, trend analysis, complaints, near misses, audit observations, process data or other signals. Organizations should avoid creating preventive actions merely as paperwork; the action should address a credible potential problem and be proportionate to risk.
Why it matters
Quality and QHSE teams often see warning signals before a failure becomes a recurring problem. Preventive action turns those signals into targeted changes before harm, nonconformity or operational disruption occurs. Clear distinction from corrective action also improves reporting: teams can show whether they are responding to an actual problem or proactively reducing the likelihood of a potential one.
Use risk assessments, trends, near misses, complaints, audit observations or process data that indicate a potential problem rather than inventing preventive actions without evidence.
Start from a credible signal
•
Determine which condition could lead to the undesired outcome and what evidence supports that concern.
Understand the potential cause
•
Choose an action that reduces the likelihood of occurrence without creating unnecessary controls or new risks.
Define proportionate preventive action
•
Assign responsibility, timing and evidence so implementation can be followed rather than remaining an intention.
Implement and track the action
•
Use appropriate evidence or monitoring to determine whether the potential problem has been adequately controlled.
Evaluate whether the risk was reduced

When preventive action adds value
Preventive action is most useful when evidence points to a credible potential failure or undesirable condition and the organization acts before that condition becomes an actual nonconformity.
A structured process for addressing causes of actual or potential problems through corrective or preventive measures and verifying that actions are effective.
CAPA
Process
· CAPA & Incidents
An action taken to eliminate the cause of a detected nonconformity, incident or other unwanted condition and reduce the chance of recurrence.
Corrective Action
Process
· CAPA & Incidents
An action taken to eliminate a detected nonconformity or immediate problem; it fixes what is wrong now but does not necessarily eliminate the cause.
Correction
Action
· CAPA & Incidents
A structured assessment used to identify hazards or uncertainties, estimate their risk and determine whether controls or further action are required.
Risk Assessment
Process
· Risk
An event that did not result in injury, damage or loss but had the potential to do so under slightly different circumstances.
Near Miss
Event
· Incident Management
The structured process for receiving, recording, assessing, investigating where needed, resolving, communicating and closing complaints, while using complaint data for follow-up and improvement.
