Definition

The document lifecycle is the controlled path a document follows from initial request or creation through authoring, review, approval, release, use, revision and eventual retirement, archive or disposal. In regulated environments, lifecycle controls connect ownership, status, version, approval evidence, effective use and historical traceability. The exact sequence can vary by document type, risk and organizational process; a lifecycle is a governance model rather than one mandatory universal workflow.

Why it matters

For Quality, QHSE and Compliance teams, lifecycle control makes it possible to answer practical questions such as who owns a document, which version is approved for use, when it should be reviewed again and what happened to the previous version. Without a connected lifecycle, documents can remain current in one place but obsolete in another, or lose the evidence needed during an audit or investigation.

Define the purpose, document type and initial ownership so the document enters a controlled process rather than being created as an unmanaged file.

Request or create the document

1

Develop the content and required metadata, references and attachments while responsibility for the working version remains clear.

Author and prepare the content

2

Use appropriate reviewers and approvers to assess adequacy before the document becomes authorized for operational use.

Review and approve

3

Publish the approved version, establish its effective status and ensure intended users can access the authoritative document at the point of work.

Release and make the current version available

4

Reassess the document periodically or when requirements, processes or risks change, and use controlled revision for any approved update.

Review and revise when needed

5

Remove superseded content from current use while retaining historical versions for the required period and applying controlled disposal when retention ends.

Retain, archive or dispose

Stages in a controlled document lifecycle

A document lifecycle connects the decisions and evidence that keep controlled information reliable over time. The exact workflow may differ, but these stages capture the controls most Quality teams need to manage.

View term
