Definition
A document approval workflow is the controlled sequence used to move a document from completed draft to approved release. It defines who reviews the content, who has authority to approve or reject it, what happens when changes are required and how approval evidence is retained. Review and approval are not necessarily the same task: reviewers can provide input while designated approvers or authorizers make the binding release decision.
Why it matters
Quality teams need more than a final signature. They need to demonstrate that the right roles assessed the right version and that rejected or changed content returned through a controlled path before release. A clear approval workflow reduces informal sign-off, makes responsibilities visible and preserves evidence of how the released version became authorized for use.
Subject-matter or process reviewers assess the content and can request corrections without necessarily holding final approval authority.
Review for adequacy
2
Designated approvers make the binding decision that the document is acceptable for release, using sequential or parallel approval where appropriate.
Approve or authorize
3
If approval is withheld, the document returns to an accountable owner for revision rather than being informally changed after approval.
Return rejected content for rework
4
After required approvals are complete, the authorized version is released or scheduled for effective use according to the document-control process.
Release the approved version
5
Keep the identities, dates, decisions, remarks and version context needed to demonstrate how the released document was reviewed and authorized.
Retain approval evidence

Process explained
How a controlled document approval workflow works
The purpose of an approval workflow is to make responsibility and authorization explicit before a document enters use. The roles and sequence can vary, but the decision path should remain traceable.
The controlled path a document follows from creation or request through authoring, review, approval, release, use, revision, retention and retirement or archive.
