Wageningen University & Research Selects Icologiq in European QMS Tender

Wageningen University & Research (WUR) has selected Icologiq following a public European tender for a Quality Management System (QMS).
The initial implementation will focus on Document Management, with Icologiq providing the foundation for controlled document management across WUR. At the same time, the tender was deliberately designed with a broader Quality Management System in mind, allowing WUR to extend the platform to additional quality processes over time..
Document Management as the starting point
Managing controlled documents across a large and diverse organization requires more than a central place to store files.
Documents need clear ownership, controlled review and approval processes, reliable version management, appropriate access rights and full traceability. Users need to be able to find the correct information, while the organization needs to demonstrate that its document lifecycle is properly controlled.
For WUR, these requirements formed the starting point of the tender.
The initial scope is therefore centered around a robust Document Management System that can be rolled out across the organization and support different organizational units, roles, rights and workflows.
Selected within a broader QMS vision
Although Document Management forms the initial implementation, WUR's tender looked beyond document control alone.
The procurement was set up as a Quality Management System tender and evaluated the ability of the selected solution to support a broader quality management environment in the future.
In addition to extensive Document Management requirements, the tender included functionality related to areas such as:
Incident Management;
Risk & Compliance;
Audit Management;
improvement opportunities, deviations and complaints;
Management of Change;
qualification and competence management.
WUR also evaluated suppliers on their vision and roadmap for quality assurance, risk management and the future development of their QMS solution.
This makes the selection about more than solving today's Document Management requirements. It provides WUR with a foundation that can evolve as quality management needs develop across the organization.
A scalable foundation for quality management
For complex organizations, implementing a Quality Management System does not necessarily mean introducing every process at the same time.
Starting with Document Management creates a controlled foundation around one of the most fundamental elements of a quality system: making sure policies, procedures and other controlled information are current, approved, traceable and accessible to the right people.
From that foundation, related quality processes can be connected when the organizational need arises.
