Definition

An external audit is an audit conducted by a party outside the organization being audited. In management-system auditing, external audits include second-party audits performed by interested parties such as customers and third-party audits performed by independent auditing organizations, including certification bodies and, in some contexts, regulators or governmental agencies.

Why it matters

External audits create direct customer, certification or regulatory scrutiny of an organization's controls and evidence. Quality and QHSE teams need current documents, clear responsibilities, accessible audit evidence and disciplined follow-up of findings. Treating external audits as part of an ongoing audit-management process reduces last-minute evidence gathering and makes outcomes easier to track.

Clarify whether the audit is second-party, certification, regulatory or another independent assessment because the authority, criteria, reporting and follow-up can differ significantly.

Identify the audit party and purpose

1

Understand the requirements, sites, functions and time period being assessed so the right owners, documents and evidence can be prepared without creating unnecessary audit-only material.

Confirm scope and criteria

2

Arrange responsible contacts, evidence availability, system or site access and practical logistics while preserving the external auditor's independence and control of audit judgement.

Coordinate preparation and access

3

Provide controlled records, demonstrations, interviews and other verifiable information that responds to the audit criteria, with traceability back to the relevant process or requirement.

Support evidence review

4

Confirm factual accuracy and understand the basis of findings without trying to negotiate away valid evidence. Record the external party's conclusion and any required response.

Review findings and conclusions

5

Assign responses and Corrective Actions, retain evidence of implementation and track deadlines so external findings do not disappear into email after the audit report is issued.

Manage follow-up to closure

Process explained

What external audits typically involve

External audits differ in purpose and authority, but they share a need for clear scope, criteria, evidence and follow-up. A customer audit is not the same as a certification audit, so organizations should first understand who is auditing, why the audit is taking place and which requirements will be used.
